What does digital workplace & collaboration cover?

Everything between choosing Google Workspace and your teams working well in it: moving the data, preparing people for the change, training them, securing your domain's email and automating routine work.

The pieces depend on each other. A migration moves mail, calendars and files, but Outlook rules, signatures and meeting links have to be rebuilt in Gmail. Adoption depends on communications and champions in each team as much as on the move itself. And DMARC can't be enforced until every service that sends as your domain passes SPF or DKIM.

Six services, in four parts

Getting to Workspace, bringing people with you, securing the email that goes out, and automating the routine work.

Moving to Google Workspace

Mail, calendars, contacts and files from Exchange, Microsoft 365, IMAP or another Google account, with accounts mapped so file sharing comes across and the MX change timed so mail keeps arriving.

Bringing your people with you

Communications before each group moves, sponsors and champions in every department, live courses of 30 to 90 minutes for users, power users and admins, and adoption tracked in the Admin console.

Securing your domain's email

SPF, DKIM and DMARC rolled out in stages so your own mail isn't blocked, plus Gmail's protections against mail pretending to come from your domain.

Automating routine work

Gemini and AppSheet, already included on Workspace Business and Enterprise plans, taking on drafting, summaries, meeting notes and requests that pass from one person to the next.

How the pieces fit together

  1. Scope the moveA Discovery Call and a Technical Scoping Call produce a migration roadmap with a timeline. Change management belongs on that roadmap, not after it.
  2. Prepare people before they moveSponsors explain why, champions from each department try Workspace first, and each group hears what is changing before it moves.
  3. Migrate and train group by groupGroups move in turn and are trained on the apps they use, with a review after each group that shapes the next.
  4. Secure it, then build on itOnce mail flows through Google Workspace, set up SPF and DKIM and roll DMARC out in stages. Then automate the routine work with Gemini.

Digital workplace FAQ

What IT leads ask when deciding where to begin.

Not sure where to start?

Tell us what you're on today, how many people it affects and what isn't working, and we'll point you to the right service.

Where do we start?

With where you are now. Moving from Exchange, Microsoft 365 or another Google account: the migration, with change management on the same roadmap. Already on Workspace but not using it well: training, shaped by the Admin console's usage reports. Spoofed mail, or sending at volume to Gmail: email security.

Do we need change management if our staff already use Gmail?

Less of it, but team habits still need work. At American Samoa Government most staff already used personal Gmail, so training focused on the collaboration tools rather than the basics.

Does a migration affect our email authentication?

Yes, and it's the moment to set it up. Once your mail goes out through Google Workspace, your SPF record needs Google's include, DKIM needs a key generated in the Admin console, and DMARC can then start at monitoring.
