What is intelligent automation?

Intelligent automation uses generative AI to do the routine parts of knowledge work: drafting, summarizing, finding information and running multi-step tasks through AI agents.

On Google it happens in three places. Gemini inside Gmail, Docs, Sheets, Meet and Drive, included with Workspace Business and Enterprise plans since January 2025. Gemini Enterprise, a separate Google Cloud product whose agents also reach tools like Microsoft 365, Salesforce and Jira. And custom builds on the Gemini platform, AppSheet and BigQuery for work no packaged product covers.

Adoption is part of the rollout

Both Gemini services include adoption work: role-based training for executives, admins and end users on Google Workspace with Gemini, and onboarding, change management and communications on Gemini Enterprise. Workspace admins can also see Gemini usage reports in the Admin console, so you can tell which teams have started and which need more help.

How to sequence Google AI

  1. Find the work firstIf you can't yet say which work to automate, start with a Gen AI workshop: your team tries Gemini on real workflows and leaves with a prioritized roadmap.
  2. Use what you already ownOn Workspace Business or Enterprise, Gemini is already in your apps. Clean up old file sharing, then roll it out to a first group and train them by role.
  3. Add agents or a build for the restWork that crosses into other systems goes to Gemini Enterprise agents, or to a custom build where no connector or packaged agent fits.

Which AI service should we start with?

It depends where the work is. Writing, summarizing and meetings inside Workspace: Google Workspace with Gemini, which you probably already have. Work that crosses other systems: Gemini Enterprise. Nothing packaged fits: a custom build. If you can't yet say where the work is, a Gen AI workshop is the place to find out.

Do we need Gemini Enterprise if we already have Gemini in Workspace?

Not for work that stays in Gmail, Docs, Sheets, Meet and Drive; that Gemini comes with Business and Enterprise plans. Gemini Enterprise is a separate Google Cloud product, priced by Google sales, and it earns its place when the work reaches tools like Microsoft 365, Salesforce, Jira or ServiceNow.

Is our data used to train Google's models?

Not without your permission. Google says Workspace doesn't use customer data to train models without prior permission or instruction, and Gemini interactions stay within your organization. Gemini Enterprise prompts, outputs and tuning data aren't used to train Google's models or other customers' models either.
