What is Google Workspace with Gemini?

Google Workspace with Gemini is the AI built into Gmail, Docs, Sheets, Slides, Meet, Drive and Chat. Since January 2025 it comes with Google Workspace Business and Enterprise plans instead of being sold as an add-on, and it only works with content each person can already open.

So if you are on a Business or Enterprise plan, Gemini is probably already switched on. The work is in deciding who uses which features first, fixing file sharing before Gemini makes old shares easy to find, and showing each team where it saves them time.

Don't we already have Gemini?

Probably. Since January 2025, Gemini has been included in Google Workspace Business and Enterprise plans, and it is switched on by default. Education, Nonprofits, Frontline and Essentials editions work differently. On Business or Enterprise, the question is not whether to buy it but whether to roll it out on purpose.

Can Gemini show people files they shouldn't see?

Gemini only works with what the person asking can already open, so it won't reveal anything they couldn't see before. The catch is old sharing: files shared with anyone who has the link, or with the whole company, are suddenly one question away. That is why sharing settings come first in guardrail design.

Can we start with some teams before others?

On Enterprise Standard and Plus plans, yes: admins can switch Gemini on or off app by app for each organizational unit or group. One thing is easy to miss. Turning Gemini off in Gmail doesn't stop someone reaching their email through Gemini in another app, so plan access by person, not by app.

Can we use Gemini with patient or health data?

Gemini can support HIPAA workloads under Google's Business Associate Agreement, but not every Gemini feature is covered: Gemini Notebook and Gemini in Chrome are outside the BAA. Those are the features to switch off for anyone who handles protected health information.

How will we know if people are using it?

Admins get Gemini usage reports in the Admin console, so adoption shows up as data instead of anecdotes. After training we also run a short survey to find where people are still unsure.

What does training look like?

Sessions are split by role, for executives, admins and end users, and built around the tasks we find during planning, so people practice on their own kind of work. Q&A sessions follow go-live.
