What is Google Workspace for government?

Google Workspace for the public sector is Gmail, Drive, Meet and Docs run as one centrally managed account for every department and configured for government requirements.

Google Workspace maintains a FedRAMP High P-ATO, and Google holds StateRAMP and TX-RAMP authorization for its Google Workspace and Google Services boundaries. Those authorizations are Google's, not the agency's: to host FedRAMP Moderate or High data, Google says to enable the FedRAMP High-authorized services, and for criminal justice information Google is clear that the agency 'is always ultimately accountable for ensuring CJIS compliance'. The work is setting the account up to match.

What procurement and security teams will ask

FedRAMP High

Google Workspace maintains a FedRAMP High P-ATO, and Google Cloud and its underlying infrastructure hold one too. Agencies enable the authorized services and pursue their own authorization where their rules require one.

StateRAMP and TX-RAMP

Google's Workspace and Google Services boundaries are StateRAMP authorized, which also brought TX-RAMP authorization. Google describes StateRAMP as the certification used to verify cloud providers that work with US state and local governments.

CJIS for police and courts

Assured Controls for Google Workspace lets an agency set policies in line with the CJIS Security Policy, and Google will sign a CJIS Management Agreement with a state CJIS Systems Agency.

Records and retention

Google Vault retention rules and holds keep mail, Drive files and chat for as long as your records schedule says, and let authorized staff search and export them.

American Samoa Government: five migrations into one tenant

The American Samoa Government, with over 1,000 employees, ran on aging IMAP mail servers and several department-specific Google Workspace tenants. Suitebriar moved 800 users off IMAP and brought the Treasury, Search and Rescue, Commerce and Legal Affairs departments into the main government tenant, with a security audit for each migration and Vault retention policies so each organization could comply with the laws and standards that apply to it. Smaller agencies no longer run their own email systems.

How an agency moves to one Google Workspace

  1. Map every departmentWhich mail servers, which separate Workspace accounts, how many users and shared drives each department has, and who will run the combined account.
  2. Audit and set retention firstA security audit before each department moves, and Vault retention rules in place before mail and files arrive, so nothing the records schedule needs is lost in transit.
  3. Move department by departmentUsers, groups, shared drives and calendar resources moved one department at a time into the central tenant, so each cutover is small enough to support.
  4. Train on-site and remotelyCourses on the collaboration tools staff haven't used before, in person where it helps and remotely for everyone else, with go-live support on hand.

Where AI fits in an agency

01

Gemini for staff

Where your Workspace edition includes it, Gemini in Gmail, Docs and Meet only works with what each employee can already open, and Workspace doesn't use your data to train models without permission. Drafting replies to residents and summarizing long meeting notes are common starting points.

02

Agents for repeat work

Gemini Enterprise agents for the questions a department answers every week, built on the documents it already keeps, from Suitebriar's Gemini Enterprise and Gen AI development work.

03

Start with a workshop

An AI Activation Workshop to choose the first use cases, check data and sharing settings, and train the people who'll run them.

Government FAQ

What agency IT and procurement teams ask before moving to Google Workspace.

Planning a consolidation?

Tell us how many departments and users you have and what they run on today, and we'll talk through where to start.

Is Google Workspace FedRAMP authorized?

Yes. Google Workspace maintains a FedRAMP High P-ATO, and its whole authorized security boundary is managed against the FedRAMP High baseline. To host FedRAMP Moderate or High data, Google says to enable the FedRAMP High-authorized services; the agency's own authorization, where required, is still the agency's.

Can a police department use Google Workspace for CJIS data?

Google says agencies deploying CJIS solutions on Google Workspace can use Assured Controls, an add-on, to set policies in line with the CJIS Security Policy, and Google will sign a CJIS Management Agreement on request from a customer or state CJIS Systems Agency. Google is also clear that the criminal justice agency is always ultimately accountable for CJIS compliance.

Is Google Workspace StateRAMP authorized?

Google holds StateRAMP authorization for its Google Workspace and Google Services FedRAMP boundaries, and as a result TX-RAMP authorization too. Check the level your state requires against Google's listing.

How do we handle public records requests?

With Google Vault. Retention rules keep mail, Drive files, chat and other data for the period your records schedule sets, holds stop it being deleted while a request or case is open, and authorized staff can search and export it. Without a retention rule, mail or files a user deletes are gone once Google's restore windows close (25 days after they leave the trash), so set rules before a request arrives.
